Terms of Service

The agreement between you and LetterFi. Plain language where we can manage it, precise where we have to be.

1. The agreement

These Terms govern your use of LetterFi, operated by LetterFi LLC, an Arizona limited liability company. By creating an account or placing an order, you agree to them. If you are agreeing on behalf of a firm, you represent that you have authority to bind that firm, and “you” means the firm.

You must be at least 18 years old. LetterFi is a business service and is not intended for personal or household use.

2. What the service is

LetterFi produces physical letters and cards. You supply the message and the recipient list; we render your message in a handwriting style using pen-and-ink writing machines, then prepare and mail the finished piece through the United States Postal Service.

Letters are written with a real pen on physical card stock and mailed with real postage stamps. Production and mailing take place in the United States.

3. Your account

Keep your credentials confidential. You are responsible for everything that happens under your account. Tell us promptly at sales@letterfi.ai if you believe it has been compromised. We may suspend an account we reasonably believe is being used in violation of these Terms.

4. Your content and your recipients

You keep ownership of everything you put into LetterFi: your message text, your recipient lists, and your handwriting. You grant us a limited license to use that material solely to provide the service to you: to render, produce, address, and mail your letters, and to keep records of what was sent. Your handwriting is never used for another customer.

You are responsible for, and you represent that:

  • You have the right to send physical mail to every person on the lists you upload, and you obtained their information lawfully.
  • Your message content is accurate, lawful, and yours to send.
  • Your use of LetterFi complies with every rule that applies to your business.

5. Regulatory compliance is yours

LetterFi is a production and mailing tool. It is not a compliance service, and nothing we provide is legal, compliance, tax, or investment advice.

If you are an investment adviser, broker-dealer, insurance producer, or otherwise regulated, you are solely responsible for meeting your obligations, including the SEC marketing rule and FINRA communications rules, any required principal or supervisory review before material goes out, required disclosures and disclaimers in your message, state insurance advertising rules, and your own books-and-records retention. We do not review your letters for compliance, and our systems should not be relied on as a supervisory control.

6. Acceptable use

You agree not to use LetterFi to send:

  • Anything unlawful, fraudulent, deceptive, or misleading.
  • Content that impersonates another person or firm, or that misrepresents who the sender is.
  • Guarantees of investment performance or any claim you cannot substantiate.
  • Harassing, threatening, hateful, or obscene material.
  • Mail to people who have asked you to stop contacting them.
  • Anything that infringes someone else's intellectual property or privacy rights.

You also agree not to probe, scan, overload, or attempt to gain unauthorized access to our systems or our production hardware, and not to resell the service without our written agreement. We may refuse or cancel any order we reasonably believe violates this section, and we may report unlawful activity to the authorities.

7. Pricing, orders, and payment

Per-card pricing and volume tiers are published on our pricing page and apply to orders placed at those volumes. Prices are in U.S. dollars and exclusive of any applicable taxes. We may change pricing prospectively; changes will not affect an order already accepted.

Billing terms are confirmed with you at the time of your order. An order is accepted only once we confirm it. Because every letter is produced to order, an order cannot be cancelled or refunded after production has begun. If we make a production error, the wrong message, the wrong recipient, or a defective piece, tell us within 30 days and we will reprint and remail it at no charge.

8. Turnaround and delivery

Stated production turnaround is a target measured in business days from order acceptance, not a guarantee. Once a letter is handed to the USPS, delivery timing is entirely outside our control. We do not guarantee delivery dates, and we are not responsible for mail that the USPS delays, misroutes, damages, or fails to deliver.

Address quality is your responsibility. We mail to the address you provide. We do not guarantee that any recipient will read, respond to, or act on a letter, and we make no representation about response rates, conversions, or any business outcome.

9. Our intellectual property

The LetterFi platform, software, designs, and brand are ours and remain ours. These Terms grant you a limited, non-exclusive, non-transferable right to use the service while your account is in good standing. You may not copy, reverse-engineer, or create derivative works from the platform.

10. Privacy

Our handling of personal information is described in the Privacy Policy, which forms part of these Terms. With respect to recipient data you upload, you are the controller and we process it on your behalf and under your instructions.

11. Termination

You may stop using LetterFi and close your account at any time. We may suspend or terminate your access if you breach these Terms, if your use creates legal risk for us, or on 30 days’ notice for convenience. On termination, your right to use the service ends; anything you already owe remains payable; and the sections that by their nature should survive do survive: ownership, disclaimers, limitation of liability, indemnity, and governing law.

12. Disclaimers

The service is provided “as is” and “as available.” To the fullest extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the service will be uninterrupted, error-free, or that production hardware will always be available.

13. Limitation of liability

To the fullest extent permitted by law, neither party is liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost business, or lost goodwill, even if advised of the possibility.

Our total aggregate liability arising out of or relating to these Terms or the service is limited to the greater of (a) the amounts you paid us in the twelve months preceding the event giving rise to the claim, or (b) one hundred U.S. dollars ($100). Nothing here limits liability that cannot be limited under applicable law.

14. Indemnity

You will defend and indemnify LetterFi LLC against claims, damages, and reasonable costs arising from your content, your recipient lists, your violation of these Terms, or your failure to comply with laws and regulations applicable to your business, including any claim that you lacked the right to mail a recipient.

15. Governing law and disputes

These Terms are governed by the laws of the State of Arizona, without regard to its conflict-of-laws rules. The state and federal courts located in Maricopa County, Arizona have exclusive jurisdiction, and both parties consent to venue there.

Before filing anything, email us at sales@letterfi.ai and give us 30 days to resolve it. Most problems are faster to fix that way.

16. General

These Terms, together with the Privacy Policy, are the entire agreement between us on this subject. If any provision is held unenforceable, the rest stays in effect. Our failure to enforce a provision is not a waiver. You may not assign these Terms without our consent; we may assign them in connection with a merger or sale of assets. Neither party is liable for delays caused by events beyond its reasonable control.

We may update these Terms. If a change is material we will notify account holders by email before it takes effect, and continued use afterwards means you accept the revised Terms.
